FIGA LLC Privacy Policy

Effective date: October 12, 2026

1. About FIGA and This Policy

FIGA LLC ("FIGA," "we," "us," or "our") is an Oregon-based caregiver referral and staffing coordination business. FIGA helps people seeking caregiving opportunities connect with providers seeking personnel.

Under FIGA's current referral model, a provider that hires a caregiver is responsible for the resulting employment relationship and payment of the caregiver. FIGA coordinates professional introductions, related communications, and referral follow-up.

This Privacy Policy explains how FIGA collects, uses, stores, protects, and shares personal information through our public website, caregiver registration when available, provider inquiries, telephone and electronic communications, and authorized internal staffing operations.

This Policy does not create an employment relationship, guarantee placement, or replace a separate agreement with a provider.

2. Information We Collect

2.1 Caregiver and applicant information

When you contact FIGA or submit a caregiver application, we may collect information relevant to staffing and referrals, such as:

  • Your name and contact details, including phone number and email address.
  • Contact preferences and a Telegram username if you voluntarily provide one.
  • Preferred work locations, work arrangements, schedules, and availability.
  • Relevant professional experience, previous caregiving settings, and work interests.
  • Job-related skills, training, certifications, and qualifications you report.
  • Relevant language and communication abilities.
  • Driving capability or other job-related qualifications when relevant to a specific opportunity.
  • Responses about duties you are willing and able to perform.
  • Communications, changes to availability, expressions of interest, referral decisions, and related follow-up records.

FIGA's current general caregiver registration is not intended to request an applicant's age, date of birth, or age range as a pre-interview screening question.

Some historical records collected through earlier processes may contain additional demographic, age-related, educational, or employment information. Where such records exist, FIGA reviews their appropriate use, access restrictions, and lawful retention. Historical information is not an authorization to engage in unlawful referral discrimination.

Please do not submit Social Security numbers, bank account details, identity document images, patient records, diagnoses, or other unrelated sensitive information through general website forms, emails, or public messaging channels.

2.2 Provider and business contact information

When providers or their representatives contact FIGA, we may collect the business name, professional contact details, staffing needs, location, scheduling requirements, job duties, qualifications requested, communications, referral history, and follow-up outcomes.

2.3 Communications and referral records

We may maintain records of emails, telephone inquiries, permitted messaging communications, contact attempts, professional introductions, requests for information, applicant responses, and related staffing outcomes.

The FIGA staff application records written call notes and outcomes; it does not record call audio. Any separate recording process must follow applicable notice, consent, access, and retention requirements.

2.4 Website and security information

Our website and protected staff system may process technical information needed for their operation and security, including IP addresses, browser and device information, session identifiers, access logs, timestamps, authentication events, error reports, and security-related signals.

Authorized staff systems may also maintain account permissions, activity history, and audit records to protect private business and applicant information.

2.5 Information received from others

We may receive relevant information from a hiring provider, an authorized applicant representative, or a professional reference where appropriate for a legitimate staffing purpose.

Applicant-provided or third-party statements are not necessarily independently verified.

3. How We Use Information

FIGA uses personal information for legitimate staffing coordination and related business operations, including to:

  1. Respond to caregiver and provider inquiries.
  2. Maintain professional applicant and provider records.
  3. Understand work interests, relevant qualifications, and availability.
  4. Receive, evaluate, and coordinate legitimate staffing requests.
  5. Identify potentially relevant referral opportunities.
  6. Contact caregivers about specific opportunities and confirm their interest.
  7. Arrange permitted professional introductions.
  8. Maintain records of communication, interview, referral, and placement outcomes.
  9. Correct inaccurate information and manage reasonable privacy requests.
  10. Secure accounts, prevent fraud, investigate misuse, and maintain system reliability.
  11. Maintain authorized internal records, audit trails, and backups.
  12. Meet applicable legal, regulatory, and contractual obligations.

FIGA does not guarantee that an applicant will receive a referral, interview, offer, or employment.

FIGA does not make referral decisions based on protected characteristics in violation of applicable law.

4. Sharing Information with Hiring Providers

FIGA may share a limited professional summary with a legitimate provider for a relevant staffing opportunity.

Such information may include job-related experience, stated qualifications, skills, availability, professional preferences, and an agreed resume or summary.

Private contact information is treated separately.

FIGA seeks the caregiver's appropriate permission before disclosing their private telephone number or other direct contact details to a verified provider for a specific introduction.

A caregiver's general submission of an application does not give providers unrestricted access to the caregiver database.

Providers receiving applicant information are expected to use it only for legitimate hiring evaluation, protect it appropriately, and comply with applicable law and their separate agreements.

FIGA does not guarantee that every applicant statement, license, certification, reference, or background detail has been independently verified.

5. Other Information Sharing and Service Providers

FIGA may provide relevant information to:

  • Authorized staff and contractors performing approved duties.
  • Hosting, database, authentication, email, security, communications, and technical support providers acting on FIGA's behalf.
  • Secure backup and recovery services used to protect business records.
  • Professional advisers where reasonably necessary.
  • Government authorities or other parties where disclosure is required or permitted by applicable law.
  • A successor organization in a legitimate business transaction, subject to relevant protections.

These providers may process only the information needed for their authorized functions, subject to applicable arrangements and safeguards.

FIGA uses restricted-access systems and encrypted backup processes as part of its data protection efforts.

FIGA does not sell caregiver personal information to data brokers or supply applicant lists to unrelated advertisers for their independent marketing.

We do not share SMS opt-in information with third parties or affiliates for their own marketing or promotional purposes.

6. Calls, Email, Telegram, and SMS

FIGA may contact people in response to inquiries, about relevant staffing opportunities, for appropriate referral follow-up, or regarding authorized account and security matters.

Communication methods may include telephone calls, email, or permitted electronic messaging channels.

Telegram and other external communications services operate under their own terms and privacy practices. Applicants and providers should avoid sending unnecessary sensitive records through such channels.

If FIGA offers an optional automated SMS program, participation will require an appropriate separate consent process.

Supplying a telephone number, submitting a caregiver application, agreeing to website Terms, or communicating with FIGA does not by itself enroll a person in recurring automated texts.

Where an SMS program is active, the applicable disclosure will explain the program's purpose, message frequency, charges, and support and opt-out methods. Message and data rates may apply. Participants may reply STOP to opt out or HELP for support.

SMS consent is not required merely to submit a caregiver application or be considered for an otherwise available referral.

Withdrawal of optional SMS consent does not automatically delete a caregiver's professional record or terminate their consideration for staffing opportunities.

FIGA may retain limited consent and suppression records as needed to honor communication preferences and applicable legal obligations.

A caregiver's separate permission to share a telephone number with a specific hiring provider does not transfer FIGA SMS marketing consent to that provider.

7. Cookies and Similar Technologies

FIGA may use cookies, browser storage, and similar technologies necessary for website operation, authentication, security, session management, and fraud prevention.

Technical service providers may also process information related to website requests and security.

If FIGA uses optional analytics, advertising, or other nonessential tracking technologies, we will provide applicable information and controls as required by law.

Browser settings may allow users to limit certain technologies, although disabling essential features may affect website functionality.

FIGA does not currently use advertising pixels or optional analytics on its public website. Cloudflare Turnstile processes security signals to prevent automated form abuse.

8. Protecting Personal Information

FIGA seeks to use reasonable administrative, technical, and organizational measures appropriate to the nature of the information it handles.

These measures may include restricted staff access, authentication controls, permissions, audit records, encryption, secure backup and recovery procedures, and incident investigation.

Private caregiver and provider records are not intended to be publicly accessible through FIGA's staff application or database.

No website or data storage system can guarantee absolute security.

FIGA does not claim certification under a security standard or compliance framework that has not actually been assessed and established.

Our general caregiver referral services are not intended to collect patient or resident medical records through public forms or general messaging channels.

Please report suspected unauthorized access or disclosure through FIGA's official contact channel.

9. How Long We Keep Information

FIGA retains personal information for legitimate business purposes and applicable legal requirements.

The appropriate period may depend on the type of record, active referral consideration, provider relationships, consent records, security needs, legally required recordkeeping, disputes, and applicable legal holds.

Information no longer reasonably required may be corrected, restricted, deidentified, or securely removed, as appropriate and lawful.

Disaster recovery backups may expire according to a separately managed recovery and rotation schedule rather than immediately disappearing when an operational record is changed or deleted.

FIGA does not promise a universal deletion period that its actual systems and approved retention procedures do not support.

10. Your Information and Choices

You may contact FIGA to request that we consider:

  • Providing information about a professional profile associated with you.
  • Correcting inaccurate contact details, qualifications, or availability.
  • Updating contact preferences.
  • Ending future referral consideration.
  • Withdrawing optional communication consent.
  • Evaluating whether information can be deleted, restricted, or deidentified.
  • Investigating a suspected privacy or disclosure problem.

Please contact FIGA using the verified contact information at the end of this Policy.

We may take reasonable steps to verify identity or authority before providing access to or changing private information.

Requests are evaluated under applicable law, operational requirements, and any necessary record preservation obligations.

Certain statutory privacy rights may depend on the individual's relationship with FIGA and the law that applies to the information.

11. Children and Unnecessary Sensitive Information

FIGA's services are intended for professional staffing inquiries, not children or child-directed activity.

We do not knowingly solicit personal information from children under 13 through a child-directed service.

We discourage the submission of patient records, resident information, medical details, financial credentials, and unrelated sensitive personal information through general applications and contact channels.

If FIGA learns that inappropriate information was submitted, it will evaluate the appropriate lawful response.

12. Security Incidents and Required Notices

If FIGA becomes aware of a suspected data security incident, it will assess the information involved, investigate as appropriate, and take relevant protective and corrective action.

Where notification is legally required, FIGA will notify affected individuals and authorities in accordance with applicable requirements.

13. Processing Locations and External Websites

FIGA is based in Oregon, United States.

Authorized service providers and personnel may process information in the United States or other locations as necessary for the services described here and subject to applicable safeguards and legal requirements.

Our website may link to external websites or communications platforms. Those services have their own privacy practices, and FIGA does not control all independent third-party content or operations.

14. Changes to This Privacy Policy

FIGA may update this Privacy Policy to reflect changes in its services, information practices, technical systems, or legal obligations.

The current version will be available on the FIGA website with its effective date.

Where applicable law requires additional notice or consent for a material change, FIGA will follow those requirements.
